Thank you for the opportunity to highlight the key points we feel need improvement on. Our goal is to alleviate these tasks from the SAMS Secretariat as all of the below tasks directly falls under the complete solutions that we offer.
We have the pleasure of detailing what we have researched and the options we propose below:

Once the above formula has been implemented and is running smoothly we would like to look at the following:
- Consumer digital (or print) magazine

- Newsletter
Medical Journal
The journal itself is running very well and no changes are required from our side and include:
1. EDITORIAL MANAGEMENT
• All editorial to be supplied by authors supplied and any contributor fees paid for directly by SAMS – Menopause Focus. Contributor fees not included in this quotation. • Contact with sponsors and advertisers to receive their ad material according to deadlines which we will set for publishing. Does not include advertising sales. • Following up with authors for articles according to deadlines set by us and sending article proofs (after proofreading) to authors for approvals. • Liaison with the editorial board to receive a brief on each issue.
2. DESIGN & LAYOUT
• Design and layout of 16 pages plus cover. • Reproduction and ad material placement. • Image sourcing where required from stock images. No specialised photography included. • Pagination • Supplying of two sets of proofs for approvals and amendments • Supplying of proofs for digital use in PDF and JPEG. • No printing required.
3. PROOFREADING
Proofreading of raw text and proofreading of final designed material. Additional recommendations listed below:
Advertising and Sponsorship Sales
Total – 15% commission on all booked advertisers or sponsors, payable on receipt of payment by advertiser or sponsor - Includes the below • Sourcing and liasing with potential sponsors and advertisers. • Sending out media packs and booking forms. • Confirming advertising and sponsorship with the booking form. • Liaising for ad material, logos etc. • Does not include invoicing of advertiser or sponsor (account management - offered below) OR Total - 30% commission on all booked advertisers or sponsors, payable on receipt of payment by advertiser or sponsor - Includes the below • All as per the above • Account management • Management of any ad material which needs to be designed. A separate quotation will be supplied for each sponsor or advertiser advertisement that we need to design according to a clear brief and specifications.
Accounts
Payments for the four journals per year done as a monthly retainer to assist with monthly cash flow (excluding ad sale commission and account management fees) Total annually - R86,000.00 Total quarterly - R21,500.00 Total monthly - R7,166.67
Website
We are able to offer the service of updating the website by loading the new journal on the day it is released. Login details are required (we currently do not have these credentials)
Database management
This includes management of your database and sending out of the journal quarterly (this will need to be supplied to us in an Excel format) The advancements in technology have opened the floodgates for endless volumes of data. Our robust and efficient database management service resolves all your data management worries, giving your business the power to easily access this data as well as drive direct marketing to your well-managed database with statistic driven results. Add a subscribe feature for new members to the website and/ or social media • Once off setup fee R999 • Email design and management with 4 features and link to journal uploaded to our website R1,499 (per journal) • Distribution of the journal to your database (up to 40,000 members/ emails per month minimum 12 months) @ R500 per month Total monthly - R1,082.92 Total annually - R12,995.00
The Next Steps
This proposed solution and pricing are available until 31/10/2020. The next steps in proceeding with the project are to: Accept the proposal as-is, accept certain portions or request revisions to specific portions of the proposal Finalise the proposal, sign the contract, and begin the new year on a new foot! CANCELLATION POLICY: Due to the nature of this project FULL THREE MONTHS (90 DAYS) EFFECTIVE FROM 1ST OF THE NEW MONTH.

This proposal doesn’t serve as a binding contract between us. Once the initial invoice has been paid and the contract has been signed, elements must be sent no later than one week before the scheduled start date. This is to make sure that the project goes as smoothly as possible. All communication during the project will take place via email. It is incredibly important that the project moves along smoothly, so please be prepared to respond and supply feedback in a timely manner. If we encounter communication dilemas, the project is subject to be terminated without refund.
